Sygnal's Shift Cancellation feature offers unparalleled flexibility. Users can effortlessly cancel shifts with various options: payable to staff only, billable to the client only, or both. With intuitive controls, users can generate payroll reports, billing/invoice reports, or simply cancel shifts without affecting financial transactions. Seamlessly manage roster changes and streamline your shift management process with Sygnal's Shift Cancellation feature.
A shift can be cancelled by users assigned to the role with "Shift Cancel" permission from the Roster review/approval screen until it is completely approved. It can be cancelled at any stage, such as after approval in the payroll tab or after approval in both the payroll and client tabs. When cancelling a shift, users will see a popup after clicking the cancel button. They will be presented with two checkboxes labelled "Billable to Client" and "Payable to Staff". Users can check both or either option, and they also need to select a reason for cancellation before submitting. The meaning of these two options is described below:
- Billable to Client: Checking only this option and cancelling a shift means the shift will be cancelled with billing to the client, and only an invoice can be generated/exported for such shifts.
- Payable to Staff: Checking only this option and cancelling a shift means the shift will be cancelled with payment to the staff, and only payroll can be generated for such shifts.
- Both Options Checked: When both options are checked (Billable to Client and Payable to Staff) before cancelling a shift, the shift will be cancelled, but both payroll and invoice reports can be generated for such shifts.
- No Option Checked: If none of the two options are checked by the user, then that shift will be fully cancelled, and no payroll or invoice report can be generated for it.
Filter behaviour for cancelled shifts on the Roster Review/Approval grid:
- Shifts cancelled without checking any of the two options (Billable to Client and Payable to Staff) or only “Payable to Staff” can be filtered under the "Cancelled" status from the main filter or the grid status filter.
- Shifts cancelled with "Billable to Client" checked can be filtered under the "Un-Invoiced" status, and once they are invoiced, they can be filtered under the "Invoiced" filter status.
Cancelled shift updates on the Roster Approval Widgets Section:
- When a shift is cancelled with "Payable to Staff," only the Payroll Hours and Staff Paid KMs widgets will be updated.
- When a shift is cancelled with "Billable to Client," only the Billed Amount, Billed Hours, and Client Billed KMs widgets will be updated.
Cancelled shifts on the Client Overview Section:
- Once a shift is cancelled with "Billable to Client," that shift's transaction will be updated on the client overview section as a debit transaction with the transaction type "Shift – Billed Cancellation."
- There will be no transaction record on the client overview grid for shifts cancelled with only the "Payable to Staff" option.
