1. What is a Custom Billing Template?
A Custom Billing Template allows Sygnal Admin users to define billing preferences for each client type and subsidiary. This enables customized billing processes based on different roster preferences.
2. Who can create and manage Custom Billing Templates?
Only users with the required permissions can access the company configuration page and have permission to manage the custom billing template.
3. Where can I create or manage Custom Billing Templates?
In the "Company Configuration" section there is a new section called "Billing Templates." This section lets users view existing billing templates and create new ones for different client types.
4. How do I create a Custom Billing Template?
Click the "Create" button in the "Billing Templates" section. Active client types will be listed for assignment along with the subsidiary. Shift types and durations can be defined for each client type based on the following:
- Default shift breakdown starts from 12:00 AM.
- Shift times must not overlap and must be within 24 hours.
- The first shift in the breakdown starts at 12:00 AM, and subsequent shifts begin at the end of the previous shift. Users can add multiple breakdowns
Validation for custom billing creation:
- Duplicate Shift Name: "Shift type name is unique."
- Overlapping Time: "Time cannot be overlapped."
- Invalid Time Duration: "Shift breakdown should be within 24 hours."
5. Can I edit or delete a Custom Billing Template?
- Edit: Only the name and description of a custom billing template can be edited. System templates cannot be edited.
- Delete/Retire: A billing template can be retired, and this will unpublish any associated future shifts. A confirmation message will appear: "Are you sure you want to retire the custom billing template? Future published shifts from today onwards will be unpublished."
6. What happens if a billing template is retired?
When a template is retired, any unpublished shifts associated with it will be unpublished. Published shifts that have been clocked in or invoiced will not be affected. A message will notify users of any "Billing Template Conflicts" in the calendar view under error status for affected shifts.
7. Can I assign a default billing template?
Yes, users with the Manage Default Template permission can assign a default billing template for each client type. Only one template can be set as default, and this will affect all future shifts created for that client type.
8. What client types can I select for a billing template?
Only active client types (excluding non-billable ones) will be displayed when creating or assigning a billing template.
9. Is there an audit log for billing templates?
Yes, any creation or modification of a billing template will be recorded in the audit log, including the user who performed the action, the date, time, and a description of the action.
10. Can I view or edit system billing templates?
System billing templates are view-only and cannot be edited.
