This FAQ explains how Quick Roster works in Sygnal Web, including permissions, shift setup, billing behaviour, and publishing.
1. Who can access Quick Roster, and how does it open?
Only users with Roster Creation permission can see the floating Quick Roster icon.
Users without permission will not see the icon.
Clicking the icon opens a quick roster screen.
The current page remains active (no navigation).
Header options such as Not Billable, Book On Call Service, Select Client Group, and Force Accepted behave as per the existing roster flow.
2. How do I configure the shift date and time?
The selected Date represents the Start Date.
Start Time and End Time are mandatory.
If the shift crosses midnight, enable “Shift Finishes the Next Day.”
When enabled:
End Time applies to the next calendar day.
The system displays:
“This shift is
<HH:MM>long, finishing next day,<DD/MM/YYYY>.”
If not enabled:
Start Time must be earlier than End Time on the same day.
3. How does Enable Sleepover work?
“Enable Sleepover” applies the standard sleepover rule (10 PM–6 AM).
Tooltip:
Standard sleepover applies 10 PM–6 AM only. Use “Want to customise” to set different hours.
When enabled:
“Shift Finishes Next Day” is automatically activated.
Financial breakdown refreshes.
Sleepover billing template is applied.
“Want to Customise” becomes hidden.
There is no fixed 8-hour placeholder displayed — calculations of time are dynamic based on the shift start and end time.
If “Shift Finishes Next Day” is manually unchecked while Sleepover is enabled:
Start Time must be earlier than End Time.
End Time must be 10:00 PM or later.
If invalid, the system shows:
“Restricted. Invalid Start & End dates.”
4. What is “Want to Customise” and when should I use it?
“Want to Customise” allows selection of a Custom Billing Template.
Tooltip:
Customise sleepover hours (outside 10 PM–6 AM). Ensure a custom billing template is configured.
Rules:
Cannot be enabled together with Sleepover.
When selected:
Enable Sleepover is hidden.
Only active Custom Billing Templates are shown after selecting the client in the selection.
System default templates are excluded.
After selecting a custom template:
Services are automatically broken down based on shift period.
Preview updates in real time.
5. How does the client, staff, and billing selection work?
Client
Only one client can be selected based on the Roster creation user's assigned subsidiary.
All the client types under roster creation user subsidiary can be seen and able to select, and this is a filter based on user permissions.
Based on the selected client, the client type, and the Subsidiary identified in the system, the user and change if needed.
Preview shows Client Name, Client Type, and Subsidiary.
Client’s default location auto-populates & Default Debtor Auto-selected.
If no location or Debtor exists:
“No Location Setup for Client.” & 'No Default Debtor Setup'
Roster creation cannot proceed without a default debtor or client location.
When the “Select Client Group” toggle is enabled, the system will display all active client type groups based on the subsidiaries assigned to the roster-creating user.
Source of Funds (Aged Care)
Single selection for aged care clients
Based on available funds.
Displayed in Preview.
Staff
Only one staff member can be selected.
Based on the client's subsidiary, the staff will be filtered in the system.
Reflected immediately in Preview.
Billed To
Default debtor auto-selected.
Can be changed if required.
Displayed as Billed To.
6. How are shift breakdowns and services calculated?
Breakdown is generated automatically based on:
Total shift duration
Configured billing templates
Client type (Aged Care, NDIS, Private, etc.)
Default Behaviour
All breakdowns are enabled with the Active Billing breakdowns by default, and the user can change them.
Sleepover is applied only when explicitly enabled.
Services
For each breakdown segment:
Only Active and eligible services are shown.
The service list is searchable.
Client favourite services appear at the top.
Service format:
Service Name
Service Code • Rate
Selections update the Preview instantly.
7. What does the Preview section show?
The Preview can be toggled ON or OFF and displays:
Shift date and time
Duration
Subsidiary
Client details
Location
Staff
Billed To
Breakdown segments
Service rates and calculated totals
All updates occur in real time.
8. How does On Call shift behave in Quick Roster?
When created from Quick Roster:
The user can select the on-call shift start date and end date from the pickers.
Times are hidden
The number of days is displayed
When opened later from the Roster Calendar, default times may appear.
9. How does Not Billable behave in Quick Roster?
When created from Quick Roster:
The user can select the Not billable check box from the header
And the user can select the non-billable type and the required date period from the Interface.
And allowed to select the staff and the Address for the shift if required.
When opened later from the Roster Calendar, the user can modify or unpublish.
10. How does publishing work?
The Publish button becomes available only when:
All mandatory fields are completed
Services are selected correctly
Billing configuration is valid
When clicking Publish:
A confirmation dialogue appears:
Title: Confirm Publish
Message: Do you want to publish this shift?
Options: Yes / No
If confirmed:
The shift is created and published to the Roster Calendar.
A success message appears:
“Shift published successfully.”
After publishing, the user can create recurrance for the shift or before pubishing user can click on save and create recurrance for the shift.
When the user exits from the quick roster view, the published or saved shift can be Unpublished or adjusted, or used for recurrence through the standard roster functionality on the roster calendar view.
