This FAQ explains how roster approvers can change a shift between Active and Sleepover from the Payroll tab, and how this impacts payroll, billing, and reporting.
1. What is the Active / Sleepover toggle in the Payroll tab?
A new toggle labelled “Sleepover” is available in the Payroll tab.
It controls how the shift is treated for:
Payroll calculations
Client billing
Payroll Reporting
Toggle States
ON → Shift is treated as a Sleepover Shift
OFF → Shift is treated as an Active Shift
This allows approvers to correct or update the shift classification during approval.
2. What is the default toggle behaviour?
The toggle defaults based on how the shift was created:
If created without sleepover services → Toggle defaults to OFF (Active Shift)
If created with sleepover services → Toggle defaults to ON (Sleepover Shift)
However, the approver can override this at any time.
3. Can the approver change the toggle regardless of shift origin?
Yes.
The approver can change the toggle:
Regardless of how the shift was originally created
Even if a staff amendment exists from the mobile app
There are no restrictions on modifying the classification during approval.
4. What happens when the toggle is changed?
When the approver switches the toggle (in either direction):
The shift is marked as an Amended Shift
Payroll classification updates immediately
The shift is excluded from bulk payroll approval
This ensures manual review before final approval.
5. What confirmation messages are shown?
When changing the classification:
Active → Sleepover
System displays:
“Are you sure you want to change this active shift to a sleepover shift?”
Sleepover → Active
System displays:
“Are you sure you want to change this sleepover shift to an active shift?”
The change is applied only after confirmation.
6. What happens to Client Billing when the toggle is changed?
If the toggle is changed and the Payroll tab is approved:
The Client Billing tab is reset
Financial details must be reviewed and updated
A red alert message is displayed on the Client Billing tab:
“The shift type status has updated from Sleepover to Active Shift. Please update the financial details.”
(If reversed, the message reflects the corresponding direction.)
This ensures billing aligns with the updated shift classification.
7. How does this affect payroll reports?
Once approved:
Payroll reports classify the shift based on the final approved toggle state
Sleepover payroll & Payroll reports are generated accordingly
Only the approved classification determines reporting outcomes.
